Can you export your contacts from a free CRM?

The Short Answer

  • EspoCRM — EspoCRM's Community edition is "a free, open-source CRM you host on your own server" with "No per-user fees", and its export docs list "XLSX (Spreadsheet) and CSV formats" with no edition condition.
  • HubSpot CRM — HubSpot lists export as "Available with any of the following subscriptions, except where noted: All products and plans", and caps the free database at "1,000 contacts" and two users.
  • Zoho CRM — Zoho allows export "in both CSV and XLSX formats" on the free edition, then limits it to 10 exports a day against 100 on Standard and 1000 on Ultimate.

A third kind of paywall

Across thirty-odd categories, free plans have restricted exports in two ways. Some forbid it — Trello marks “Simple data export” unavailable on Free and on Standard. Some downgrade the format — Toggl gives you a PDF and sells you the CSV.

Zoho CRM does a third thing. It permits the export, in full fidelity, in both CSV and XLSX, and then counts them:

No format is withheld. No feature is missing. The free user gets exactly what the paying user gets — a tenth as often as the cheapest paying customer, and a hundredth as often as the top tier.

That is worth naming because it changes what the free plan is for. Ten exports a day is plenty for someone pulling a list before a campaign. It is nothing for anyone building a routine around it — a nightly sync, a reporting job, a migration off Zoho. The limit is invisible during evaluation and binding during use, which is a well-designed place to put it.

The caps that are actually about the database

HubSpot restricts nothing about the export itself. Its help article lists availability as “Available with any of the following subscriptions, except where noted: All products and plans”. A free HubSpot account can take everything it has.

The limit is on how much it can have: “You can add 1,000 contacts, and your free access has no time limit”, plus “You can add up to 2 users to your free account.”

That is a more honest structure than it might look. A thousand contacts is a real small business, not a demo, and the plan is explicitly a plan rather than a trial. When you outgrow it you leave with everything. The upgrade is priced against growth rather than against the exit.

Worth flagging on price: HubSpot’s page leads with “Starts at $7/mo/seat”, and its own small print says “New customers only. Select offers available for a limited time.” The standing Starter price is $20 a seat. We record the $20 and describe the promotion, rather than filing $7 as if it were a standard annual rate.

Freshsales: when the vendor contradicts itself

We could not answer the question for Freshsales, and the reason is worth publishing rather than hiding behind a dash.

Freshworks’ live pricing page shows Growth, Pro and Enterprise, plus a 21-day trial. No free tier. Its export help article, still published, is tagged as applying to “Freshsales Free Growth Pro Enterprise” and states “You can export your CRM data up to five times daily”. A help article titled “How to activate the free plan” appears in the help centre’s own search results and returns 404 when you open it.

Every one of those is a Freshworks source. They do not agree. The most likely explanation is a withdrawn free tier and documentation that has not caught up, but “most likely” is not a finding. So the verdict is blank, and what we searched is written down.

The Community edition is "a free, open-source CRM you host on your own server" with "No per-user fees", and the export documentation states that export supports "XLSX (Spreadsheet) and CSV formats". Nothing on that page attaches a plan or edition condition to it. Note the shape of that evidence: this is an absence of a restriction rather than a stated permission, which is weaker than a pricing table with a checkmark in the free column. Two limits are real and stated elsewhere — the free path is self-hosted only, there being no free Cloud tier, and an administrator can switch export off per role, so a given instance may not permit it regardless of the edition.

Skip it if

  • The free path is self-hosted only — you supply the server and the PHP and database stack, and there is no free Cloud option.
  • Every Cloud tier enforces a minimum seat count (3, 5 and 10) even at entry level.
  • Export can be switched off per role by an administrator, so the capability depends on how an instance is configured, not only on the edition.

HubSpot's "Export your records" article lists its availability as "Available with any of the following subscriptions, except where noted: All products and plans", so a free account can export to CSV, XLS or XLSX. The cap is on what there is to export: "You can add 1,000 contacts, and your free access has no time limit", and "You can add up to 2 users to your free account." A free HubSpot database can leave whole; it just cannot grow past a thousand records.

Zoho permits the export and then meters it. The help article states "You can export data from modules in both CSV and XLSX formats" and carries a per-edition daily quota in which Free is 10 exports a day, against 100 on Standard, 250 on Professional, 500 on Enterprise and 1000 on Ultimate. A second FAQ article repeats the same figure. This is the only rate limit on export we have found anywhere on this site — every other vendor either allows export or forbids it, and Zoho instead sells you the speed of leaving. The free edition is separately capped at three users.

What this means if you are choosing today

Under a thousand contacts and two people: HubSpot’s free plan is the strongest hosted option, and nothing about leaving it is restricted.

Three people, or contacts past a thousand: Zoho’s free edition is the more generous starting point. Set up the export routine early and see whether ten a day is a ceiling you will ever touch. For most small teams it is not, and knowing that before you depend on it is the point.

If you have someone who can run a server, EspoCRM removes the question entirely — no seats, no records cap, no metering. Confirm the export permission on your own instance, though, since an administrator can disable it per role and that setting has nothing to do with the edition.

Is a self-hosted CRM really free?

The software is. EspoCRM's Community edition carries no licence fee and no per-user fee, confirmed on the vendor's own download page. The server, the database and the upgrades are yours to run, which is real work with a real cost — it is just not a cost the vendor collects. Note also that an administrator can switch export off per role, so an instance's configuration can override what the edition permits.

No. Every verdict here was read on the vendor's own pricing page or help documentation on 6 August 2026 and is labelled as read, not run. Zoho's daily quota is the one figure a hands-on test would confirm most usefully, and we have not run it.
